Part 1: Account Creation and Business Conversion
- Download the Instagram app on your phone (required for account creation; you can manage from desktop later). Also install on your computer for easier content management.
- Create a new account using your business email address (the same one used for your other social profiles). Do not use a personal email address for a business account.
- Choose your username carefully. It must match your other social profiles exactly. Use your business name with no spaces: @yourbusinessname. If taken, try @yourbusiness.uk or @yourbusiness_official. Avoid numbers or underscores that look unprofessional.
- Go to Settings > Account > Switch to Professional Account. Select "Business" (not "Creator"). Business accounts have analytics, contact buttons, and advertising features that Creator accounts lack.
- Connect your Instagram Business account to your Facebook Business Page. This is strongly recommended: it unlocks cross-posting, shared analytics, Meta Business Suite management, Instagram Shopping, and Facebook Ads integration. Go to Settings > Account > Linked Accounts > Facebook.
- Select your business category from the dropdown. Choose the most specific option that matches your Facebook and Google Business Profile categories. This category appears below your name on your profile and is searchable.

- Upload your profile photo. Use your logo at 320x320px minimum (will display as a circle). The image must be recognisable at small sizes since it appears as a tiny circle next to every comment, like and message you send.
- Set your Display Name (the bold text above your bio). This is THE most important field for Instagram search. Include your business name PLUS your primary keyword. Example: "Frontline Web | Wix SEO Expert". The Name field is the primary field Instagram's search algorithm uses for keyword matching.
- Write your bio (150 characters maximum). Use every character strategically. Follow this formula: Line 1: What you do + for whom | Line 2: Proof point or credential | Line 3: Call-to-action pointing to link. Example: "Ranking Wix websites on Google since 2012 | 750+ projects completed | 425+ 5-star reviews | Free SEO audit below".
- Add your Wix website URL to the Website field. Instagram allows one clickable link in your bio. Options: (A) Link directly to your most important page (homepage or services page), or (B) Use a link-in-bio tool (Linktree, Beacons, or Lnk.Bio) to create a page with multiple links. Option B is recommended for most businesses.
- Complete your Contact Options. Tap "Edit Profile" > "Contact Options". Add your business email, phone number, and physical address (if applicable). These create clickable "Email", "Call" and "Directions" buttons on your profile. All contact info must match your GBP and Wix site.
- Add your Action Button. Business accounts can add one action button (Book, Reserve, Order Food, etc.) that links to third-party booking services or your Wix booking page.
